How to Update / Correct Date of Exit in EPF Account

EPF members whose date of exit is not available are not able to withdraw their PF amount online at UAN member portal. Date of joining and date of exit are two important things that every PF officer will check when the employee went to withdraw PF amount. So marking employee exit date is very important for an employer to make a smooth transaction between employee and EPFO.

How to update date of exit in EPF account

Step 1:- There are two ways to enter exit dates of the employee in employee provident fund organization. The first one is by bulk exit method and the other one is by doing individual exit in unified EPF employer portal. For this employer needs to login to employer PF portal.

Step 2:- After successful login, click on a member in the primary menu and select profile. Then employer redirected to another page, which asks for UAN number or PF account number of the employee. Here we need to enter the UAN number or member id of the employee to whom we want to mark exit.

Step 4:- Once we enter the details the detail of that particular employee will appear on the screen, there we will find three options, they are profile, kyc and mark exit. Now our aim is to mark EXIT. So click on exit and enter  the reason for exit and exit date of the eployee and click on save.

The reasons are mainly Retirement, Death in service, Super Annuation, Permant Disablement, Cessation, and Death away from service, if you don’t know the reason then mark it as UNKNOWN

Step 4:- After selecting reason and entering the date we will get the following message

Member Exit Saved Successfully for Approval.

Step 5:- After this go to approvals under MEMBER option in the primary menu and approve the exit of the employee and complete the process of individual employee exit unified EPF portal.

How to correct / change date of exit in PF

Sometimes employers may mark the wrong date of exit for EPF members. In this case, both employee and employer are not able to correct the date of exit online.

In order to correct or change the incorrect date of exit, EPF member needs to submit PF joint declaration form to their regional EPF office.

Along with PF joint declaration form employer need to write a request letter to the regional PF office to correct the date of exit of the employee. Once employee or employer submit these Two then within 30 days the DOE of the employee in PF will be corrected.

If you don’t want to wait until the correction of DOE and are you in hurry to claim PF amount then submit above Two letters along with your PF claim forms.

    In EPF portal, my employer added “Date of Exit” by mistake. But i still continuing my service with the company and my contribution also going on. we tried to remove by giving Joint declaration form to EPFO office many times. but they also unable to remove the DOE. they replied as “don’t have the option to remove”. Kindly guide us regarding..

    my query is that i have to enter exit date of one employee. in this regard, he resigned on oct but relieving letter was in nov. for this which month i have to enter as DOE in PF portal.?

    • Hi Gokul,
      You can enter any date of exit as per your choice it is not a problem, better enter the date of exit for which month you have paid salary to him. If you paid October salary only then enter October as DOE if you also paid November salary then enter November DOE.

    My name is sujay I have worked Exactly 7 months but in the uan portal it is mentioned as CESSATION (short service) What this means, i have resigned officially and served my notice period got my full and settlement will i get my pf to transfer directly to my bank account please help me

    • Hi Sachin,
      Exit reason is Resigned or Cessation. If you are filling PF forms offline then mention exit reasons as Resigned, if you are claiming it online then PF portal will automatically take it as Cessation.

      May be your bank account details are not correct, better raise a grievance at PF portal so that you can know the exact reason.

    I have filled Form 19 for the P.F. Final Settlement online, will I get my EPS money by filling this combined form because there only one option on filling online form i.e:- 19 or 10c, and my Reason of Living is also a cessation short service, please help me,,,,

    • Hi Amit Awasthi,
      You have to apply for both form 19 and 10c separately. As you already applied for form 19, now apply for form 10c pension amount online, you can choose reason as Cessation.

  8. Hi sir,
    I have a UAN no which i always share with my current employer. However i have observed that one of my previous has deposited the contributions in a new UAN. Is it possible to have more than 1 UAN with the same pan number. How to tackle such situation. Kindly guide.
    Also pls tell me Cessation(short service) meaning in reason for leaving.

      You can have more than 1 UAN with the same PAN but it is recommended to either transfer it or withdraw your previous UAN amount. At present every UAN number has to be linked with Aadhar, once Aadhar is linked then you can’t able to have multiple UANs.
      When it comes to cessation, when employees are hired in short-term basis then the reason for exit will be mentioned as cessation but in reality, employees who leave the organization without any intimation is considering as cessation.

    My reason for leaving in the epf portal has been updated by the employer as “cessation (short service)”, whereas I left due to ill health. If the employer doesn’t have an option to choose ill health then I would get taxed and would be unfair. The manual form had the option to be tick marked. Please help.

  11. If my Aadhar Verified by both employer. can money transferred automatically to my new pf account, can i withdraw manually my whole contribution of my previous employment which will attested by them, because in claim portion they are only showing my current employer.

    • Hi Kumar,
      Only your employer can add your date of exit in their PF portal. But you can do one thing if your KYC like Aaadhar and bank account are linked with your UAN then apply for PF claim in offline by submitting EPF composite claim form aadhar, on this form in the field of date of exit mention the last date of your last working month. Suppose you left your company in May 2018 then write your date of exit as 31 May 2018.

    My first employer entered wrong exit date in the EPFO portal and I got to knw about this as part of the back group check that happened in my new company that I have joined. Back ground varification team raised a concern and asked me to get this corrected. Can this date be corrected?

    • Hi Sudhir,
      If your claim status is showing under process then you have to wait. If you are lucky then you will get your PF amount even with wrong exit reason.

Sir, I have an query, Recently i move to a new company, they are using my uan for contribution, Can i will withdraw whole contribution of Provident fund of my previous employment., means employer contribution too. My previous company already showed mark of exit on April, will I claim after two months & get full contribution, means both contribution?

    • Hi Arijit Sarkar,
      Yes, you can withdraw your previous PF amount after Two months from your last working date. But before that tell your employer not to initiate automatic PF transfer.

          If your previous PF amount is transferred to your new PF account then you will get all the contributions, you can check it in your PF passbook. Otherwise, you have to withdraw PF amounts of your present and previous companies separately.
